Administrative Director

ArborVitae School of Traditional Herbalism is seeking an Administrative Director. This person will have a leading role in the development of the school and, as such, qualities of taking initiative and working independently as well as working collaboratively in a supportive team are particularly valued. The ideal candidate is creative, efficient, an excellent communicator, excels at problem-solving, and enjoys working in a fluid, small-team environment.

This is a part time position, beginning at 15-20 hours per week, with the possibility of increasing the number of hours as the school grows.  Details of tasks and number of hours, as well as pay, will be determined in part by the experience and skills of the applicant. Everyone is encouraged to apply, although some of the work will be on-site at the school in Manhattan and prior administrative and/or clinic management experience will be helpful. While not required, interest in herbal medicine is a plus.

General Administrative Management and Support

  • Provide administrative support by coordinating with school directors, faculty and other staff
  • Schedule and coordinate all community classes and public events
  • Along with the Finance Administrator, maintain website content up-to-date
  • Specific tasks to be determined based on experience and skills

Student Administration and Support

  • Interact as needed with students and prospective students
  • Manage student work study
  • Oversee aspects of student requirements for graduation

Public Relations and Promotion

  • Attend events and conferences to promote and represent the school and its programs
  • Write copy, design and distribute promotional materials
  • Actively promote the clinic, community classes, and professional programs via social media, networking, flier distribution, etc.
  • Coordinate and post blogs as part of outreach (opportunity to write blogs if appropriate)

Student Clinic Management

  • Management of apothecary (herbal remedies) including solicitation of donations and purchases
  • Schedule clinic and oversee related paperwork
  • Coordinate with students working in the clinic and with supervising faculty


  • Free classes
  • Majority of work can be done from home with flexible hours
  • Deepening knowledge (if desired) of herbalism and getting to know many leaders in the local and national herbal community
  • Possibility to grow in the position with ArborVitae as the school develops
  • Working in a mutually supportive, collaborative team environment

Webmaster pic - provided by CArborVitae School of Traditional Herbalism is looking to add a Webmaster to our team of exceptional individuals. The Webmaster will be responsible for updating and maintaining our website and student portal which, in no small part, will include finding and fixing whatever bugs decide to pop out of the woodwork.

Our website and portal are based on WordPress, and we’re not looking to change that. We use the Sensei application for coursework, attendance, etc. and WooCommerce for financial transactions made through the site.

To give you an idea of our needs, here is a list of some of our past or current issues:

  • Users unable to reset their passwords themselves
  • Automatic grading grades incorrectly
  • When user tries to “pay” or “cancel” a pending payment, is only able to view the order
  • Follow-up emails linked to single product sending out for all purchases, not just that product
  • Add a user-friendly photo gallery page

In addition to working in a relaxed and familial environment, you’ll also have access to a trove of herbal information with opportunities to take some classes free of charge.

This is a part-time position where you will work on an as-needed basis. Compensation will be based on applicant’s experience and bids we have received.
